Schools (for Parents)
Our School is using the pre-pay plan. How does that work?
The Pre-Pay plan has the fastest turnaround with your picture orders and is the most popular plan for fall pictures. Parents will receive an order form for each child about 1 week prior to the event. Students must bring their completed order form with payment on picture day. Your photo orders will be returned to the school in approximately 3-4 weeks.
If we use the pre-pay plan, may I order later?
Yes! When you receive your photo order, you will be provided with a unique access code so you can go online and view your child’s photo(s). You may opt to purchase additional pictures for up to 3 months from your event. They will be mailed directly to your home. Orders after that may be subject to additional charges.
Our School is using the proof plan. How does that work?
The proof plan allows parents to choose from up to 2 poses when placing their order. We usually offer this plan for spring pictures. Your child will not need to bring an order form on their picture day, as is the case with the pre-pay plan. Instead, we will deliver a proof sheet along with an order form about 2 weeks after your picture day event. You will need to return your completed order form back to the school within 7-10 days. Your photo orders will be returned to the school about 3-4 weeks from the due date.
If we use the proof plan, may I order later?
Yes! When your photo orders are returned to the school, you will be provided with a unique pass code so you can go online and view your child’s photo(s). You may opt to purchase additional pictures for up to 3 months from your event. They will be mailed directly to your home. Orders after that may be subject to additional charges.
How long does it take to get our pictures?
Your photo orders will be returned back to your school and handed to your child in about 3-4 weeks from your picture day (If your school is using our proofing order system this is from the time you turned in the order, not from when pictures are taken).
How do I get my photo orders?
Your photo order(s) will be returned to the school and will be sent home with your child. If you placed your order from our online store after picture day, your order will be sent directly to you. The only exception to this is if you ordered online from a proof plan prior to the due day, in which case your picture will be sent to the school with the rest of the proof orders.
What payment options do I have?
We accept cash, checks, debit and credit cards (Visa, MasterCard, Discover).
If I have a question about the order I just received, how do I get help?
If you have any questions about your order, including missing pictures, photo quality, etc., please contact us directly. Our staff is on hand to quickly and easily resolve any issues. We will be happy to re-order any missing items, re-print any photos or offer you a re-shoot on make up day. Please call or email us: 408-564-6528 Support@gCaseyPhotography.com . Requests for re-prints and/or re-orders should be made within 30 days from the date that you received your order.
Please explain your 100% satisfaction guarantee.
gCasey Photography provides a 100% satisfaction guarantee. If you are dissatisfied with the photo quality of your order, we will re-print your order, re-photograph your child or refund your money. Just give us a call or send us an email within 30 days of the day your received your photos and we will make sure that you are taken care of.
Schools (for Administrators)
What Background will be used?
For fall pictures, we usually recommend going with a neutral background, which provides a consistent look for your yearbook and Service Items. For your spring portraits, we have a variety of outdoor backgrounds to choose from. We are also able to shoot outdoors if you prefer
How long will picture day take?
We will design a schedule that works best for your busy day. Please let your representative know your schedule requirements and we will do our best to accommodate them. Depending on your class size and program options, each class will take 20-30 Minutes to photograph Individual pictures. We will use multiple camera stations if necessary get everyone photographed within your time constraints.
How much room do you need for set up?
For each photographer station we need an area about 10x15 feet, with additional space needed for students to line up and flow through. If you have an extra classroom, gym or library, that is great. If you don’t, we will work with whatever space is available.
Are all the children photographed even if they do not order?
If we are doing fall pictures or proofing, all children are photographed so that all of your service items and yearbook photos will be complete. For our spring prepaid program, only children with order forms will be photographed.
What is the process for order corrections?
All of our orders are double checked before they are delivered to ensure the highest possible quality. If any parent has questions about their order, please have them call our office and we will fix the problem immediately. All corrections are shipped directly to the customer.
What if a parent has a special request, like a sibling shot or a special prop?
We are happy to accommodate any special requests. We are at your service to meet any of your parent’s needs.

Do Staff members get Free Pictures?
Yes, all staff will bet a complimentary sheet of staff pictures as well as a discount on there child’s pictures. Please contact your Representative for more details.
Can parents reorder pictures?
Yes, all children photographed will get an online access code to reorder pictures. They can go online or call our office for assistance.
How long does it take for pictures to come back?
Pictures will be delivered back to the school 3-4 weeks after pictures are taken (If you are doing a Proof Program it will be 3-4 weeks form the time orders are picked up). Orders will be bundled by teacher and organized in Alphabetical order, unless specified otherwise. If you would like them to be sorted another way please just let us know before hand.

Leagues (for Parents)
How can I get an order form?
Your league will be distributing order forms to coaches and players about 1-2 weeks prior to your event. You may also go to our website www.gCaseyPhotography.com and click on the “Order Now” menu item at the top of the home page. You will be taken to your league’s custom ordering website. There are a number of helpful documents, including downloadable order forms, under the “Documents” section. NOTE: you will need your league’s unique pass code, which can be obtained from the top of an order form or by calling / emailing our office or your league’s photo chair person. We will also have plenty of order forms at your event. Just ask one of our friendly Customer Service Representatives for help.
Do I need to submit an order form on picture day?
Yes, your child must bring his/her completed order form on picture day along with payment. If you plan on ordering online after the event, your child still must have an order form in order for his/her photo to be taken.
How do I place an online order prior to my event?
You may place an online order for your child rather than completing a paper order form. Access your league’s custom store by going to our website www.gCaseyPhotography.com and clicking on “Order Now”. Be sure to select “Leagues” so you will be taken to the correct link. Please remember to print out your PDT (Picture Day Ticket) and have your child bring it with them on Picture day. We will have a list of all online transactions, but it is best if your child arrives with their PDT in hand.
If I placed an order online before my event, do I still need to submit an order form on picture day?
Yes, you may print out your Picture Day Ticket (PDT) at home and have your child bring it with them to the vent. If you forget your PDT, please fill out a blank form at the event and make a note that you ordered online. If you have any problems printing out your PDT please call the office at 408-564-6528 or email our office at email@example.com
May I make changes to my order form on Photo Day?
Yes, a customer service person will be on hand to help with any ordering questions you may have and will be happy to provide additional order forms and buddy forms as needed. If you ordered online, and decided to make changes after the fact, that is not an issue. Please have one of our customer service representatives help you with that. Any changes on a PDT must be clearly noted to ensure the additional steps are taken after picture day.
What if I forget to bring my online receipt to picture day?
If your child does not have their PDT (picture Day Ticket) on picture day, please grab a blank order form and fill it out, including a not that you purchased online. We will reconcile all orders when we get back to our office. If you are unsure about anything, please call our office M-F 9AM to 5 PM. Our Customer Service staff will be glad to help.
May I order multiple children’s orders at the same time from your online store?
Yes. To save time, you may place multiple orders into your shopping cart. Each child’s order will have its own unique PDT (Picture Day Ticket) number, but you will only have to enter your credit card once. To do this you must first build your order for one child. When you go to your cart, it will have a button to build another shopping cart. Click on this and build another order for your second child or buddy picture. The Personal information for each child will print out on there own PDT, which you should print out and bring to picture day.
Is sales tax included on my order form and online store?
Yes, all prices on our order forms and online store include sales tax. You do not need to calculate and/or add in additional sales tax to your order amount.
May I order photos after my event?
You may go online 3 weeks after your event to place additional orders, regardless if you ordered any items prior to your event or not. You will receive your access order code inside your photo order envelope. Just follow the instructions and use the Order Code to access your photos and the store.
I want to place an online order after my picture day but do not have my access code. How can I get my access code?
You will receive your unique access code along with your photo orders. You may also email or call our office and request that your code be emailed to you.
My child missed his photo event. May I schedule a make up?
You may either contact our office via email or phone, or go online to our website and request a make up day (click on “Contact” from our home page). We will inform you of your league’s make up day(s) and sign you up to a convenient time slot.
When will my child’s photo order arrive and how will I get them?
Your league’s photo orders will be returned to the league in 3-4 weeks from your event. Your coach will hand each player their orders at a practice or game. This includes online orders place prior to the event and paper order forms handed in on photo day. Make up photo orders will NOT be delivered with these orders.
Leagues (for Coaches)
When do I hand out the order forms to my players?
Your organization will provide you with a stack of order envelopes and coaches instructions. Please hand out an order form to each player 1 week prior to your event.
What if I run out of envelopes?
You may call or email our office to request more envelopes or check with your photo coordinator who probably has extras. You may also direct players to your custom online website/store, where they can download an order form from the “Documents” section or make an purchases at our online store: www.gCaseyPhotography.com .
Is there a coach check-in procedure at our Picture Day event?
Coaches should have their teams arrive 15 minutes prior to their photo time. Please proceed directly to the white Coach Check-In tent, where you will be given your final instructions. Essentially, we need your assistance so that your team is lined up in height order, shirts tucked in, order forms completed and all players and buddies ready to go on time. Coach forms will be provided by the attendee at the white coach check-in tent.
What if a few players are unable to make their photo day time slot? Should I request a make up day?
We highly recommend that you and your team show up for the original event, especially if only 1 or 2 players are unable to attend. Our experience is that you are just as likely to be missing players on the make up event, and often times even more players are absent. Please keep in mind that make up photos may arrive after the end of your season and/or your team party, and make up photos can’t be retaken.
How do my players get their photo orders?
Photo orders are returned to your league in about 3-4 weeks from your event, and will be organized by division and team. Once your photo coordinator gives you your team’s orders, please hand them out to individual players as soon as possible. Each order envelope is clearly marked with the player and team names and includes instructions for contacting us with any order questions.
What if a player has a question about their order?
Please ask any player or parent with questions to contact us directly by either calling our office 408-564-6528) or emailing us at Support@gCaseyPhotography.com . We will quickly look up their order and resolve the issue, often right on the spot.
